Board termination of 4 Seasons Management Group

Dear TrailMark Residents,
As mentioned in the January 10th HOA meeting, the TrailMark HOA Board has unanimously decided to terminate the 4 Seasons Management contract in order to protect our residents, our vendors, and our Board. We know transitions are difficult for homeowners, and exhausting for our Board, but our Board feels that an immediate change is necessary due to 4 Seasons Management not holding up to our signed agreement.
Please continue to pay your January assessments to 4 Seasons that are due by January 31st. 4 Seasons must continue to be our fiduciary and process all HOA assessment payments until February 23rd. 4 Seasons has a legal obligation to transfer all of your HOA payments, and records to our next management company.
TrailMark's Declaration (specifically Article 8, Section 8.21) allows the Association to hire and terminate a management company. This power is vested in the elected Board of Directors to make this decision. The Board has met and conferred often about problems the Association was experiencing over time regarding the managing duties and the way they were performed by 4 Seasons. As stated, the Board has unanimously agreed that 4 Seasons is not the right fit for our community.
The Board understands that this is frustrating on everyone and we request patience and understanding from all as we transition to a new management company that we feel has our best interests in mind. The Board has been spending countless hours on vetting, interviewing, and checking references of new management companies. Our Board hasn’t made a final selection of the new management company yet, but we will publicly announce as soon as we sign a contract with the next management company.
We realize that changing management companies is inconvenient. Please know that we tried to work out the issues that our community has been experiencing with our current company. These attempts were made with all of our residents in mind. The standards we expect were just not being met.
This was not a decision made in haste. Like you, we are homeowners too. We want what you all want: a reliable way to pay our dues, a positive experience when interacting with our neighborhood HOA, predictable community leadership, and a sense that our voices are heard. We take these responsibilities to heart so that your HOA dues are being spent towards ensuring fiscal integrity.
We ask for your patience, and are working very hard to make this transition as pain-free as possible. Thank you for trusting in us enough to select us as your board. We feel honored to be serving you all in this way.
