Request for Additional Information/Denied Requests: DRC requests returned to homeowners for additional project information and/or denied requests will be reviewed during a following, normal review session.
Notice of Completion: Once project approval is obtained and home improvements are completed, homeowners are required to submit the Home Improvement Notice of Completion to the management company.

- A completed Home Improvement Request & Yard Access form, and all supplemental information, i.e., brochures, plot plans/yard diagrams, etc., must be received by the management company not later than 12:00 noon, the Friday prior to the DRC meeting. Send to: TrailMark@westwindmanagement.com.
- Documents must be signed and dated.
- Exterior Paint Projects: Physical paint color samples/chips are required if one selects paint colors that are not pre-approved, as in our paint sample book. Approved color schemes are posted on the HOA Documents & Forms page - Find and click on the EXTERIOR PAINT CHART button.
- Scanned and/or monitor representations have proven unreliable in determining whether a paint scheme is appropriate for the TrailMark community. Each paint chip must be annotated with the specific area to be painted (siding, fascia, trim, exposed beams, etc.). Place in a sealed envelope with the homeowner’s name and address clearly written on the envelope. All other project documents will be forwarded to the management company. For homeowner convenience, paint chips may be dropped off at 9718 S Johnson Way.
- Paint Sample Book: Homeowners may review the paint sample books which are available through our management company by calling or sending an email to trailmark@westwindmanagement.com.

- Due to community aesthetics, TrailMark no longer allows the untreated finish and has approved color options considered most compatible with the privacy fencing along TrailMark Parkway and Independence Street. These colors blend throughout the community and enhance our overall appearance:

Fire Hydrants:
Homeowners are responsible for maintaining clearance
Questions have surfaced to the Design Review Committee (DRC) about fire hydrant maintenance. South Metro Fire and Rescue provided the following information to assist homeowners.
While homeowners are planning their spring projects, now is a good time to remind those with fire hydrants adjacent to their property of the requirements for the upkeep of these critical infrastructure components.
The City and South Metro Fire are responsible for the maintenance of the fire hydrants. The workers who maintain the hydrants need to walk, probe, and possibly dig around the hydrant, so any plants there are likely to be routinely damaged. What is vitally important is that the fire hydrant is not obscured from view, nor access blocked, in any way.
Homeowners are responsible for maintaining a clearance of three (3) feet around the fire hydrant. This means that fall leaves and other debris that collect near the hydrant must be maintained. This does not mean that nothing can be planted in this area.
If you have a fire hydrant on your property, you may landscape around it if there is three (3) feet of clearance and it can be easily accessed in the event of a fire and for maintenance.
Tips for maintaining the area around the hydrant:
• Plants need to be low-growing so they won't obscure visibility or access to the hydrant in any way.
• While lawn grass stands up best to maintenance treatment, plants suitable for planting between pathway paving stones also tolerate some foot traffic. Grass needs to be mowed short.
• River rock and/or mulch are suitable in the three (3) foot area as long as they are well maintained.
• Shrubs, trees, fruit, vegetables, and flowers are not to be planted inside the three (3) foot area.

- Routine daily/weekly email monitoring to respond to emergency requests.
- Become knowledgeable of and be able to apply the TrailMark Covenants, Conditions and Restrictions (CCRs) and Design Guidelines;
- Help develop new improvement standards. This requires research, writing, editing, and presenting potential standards to the HOA Board for their review and decision;
- Other shared responsibilities:
- Document all homeowner request decisions;
- Receive relevant materials required to support homeowner requests;
- Maintain and track the TrailMark paint sample books;
- Develop and submit relevant articles to the TrailMark newsletter, website, and/or Facebook page;
- As necessary, conduct on-site visits to better understand homeowner requests.
- Conduct post-completion reviews to determine compliance with that which was DRC approved.
- March-October: Minimum 2-4 hours weekly. Review requests, participate in DRC meetings.
- November-February: 1-2 hours weekly with meetings often cancelled.

The Design Review Committee (DRC) is soliciting new volunteers to join this very important committee. As posted on the TrailMark website the DRC’s vision/philosophy/purpose:
- Encourage consistent quality and design expression throughout TrailMark’s boundaries, while allowing for owner individuality of improvement expression.
- Facilitate restoration of the original high prairie and foothills environment through a distinctive native prairie landscape design. This design uses a combination of traditional sodded lawns, unmowed native grasses, wildflowers, sage, rabbit brush, pine, many other prairie natives, and native moss rock field stones and rounded granite river boulders.
- Define the means by which homes built at TrailMark can be compatible with each other and with TrailMark’s unique setting. This establishes the basis for The DRC’s decisions - compliance with the spirit of TrailMark’s original design to facilitate mutual enhancement and protection of the TrailMark’s qualities.
- Review and approve/approve with conditions/disapprove/request additional information, all Home Improvement Requests submitted by TrailMark homeowners.
- Active participation in DRC meetings the 1st and 3rd week of each month, year-around. Active participation requires:
- Receipt and review of all submitted homeowner requests prior to each meeting;
- Individually post preliminary decisions on Google Drive prior to each meeting;
- Attendance at each meeting (currently via ZOOM) ready to discuss and render thoughtful decisions on each submitted request;

Dear TrailMark Residents,
Many of you have logged onto 4 Seasons Management Company’s new portal to set up your HOA account. Several of you have noticed a section that states there is a new $25 fee for submitting a DRC request.
This is clearly a mistake. Our Board reported this to 4 Seasons when the new portal was revealed on November 28th. 4 Seasons is still trying to get this mistake corrected.
Our HOA Board is very diligent in making sure that our residents are protected and informed of the details. When requesting to perform a project in your front or back yard, please continue to go to the TrailMark website and print out the Home Improvement Request form from our website. Dear TrailMark Residents,
Many of you have logged onto 4 Seasons Management Company’s new portal to set up your HOA account. Several of you have noticed a section that states there is a new $25 fee for submitting a DRC request.
This is clearly a mistake. Our Board reported this to 4 Seasons when the new portal was revealed on November 28th. 4 Seasons is still trying to get this mistake corrected.
Our HOA Board is very diligent in making sure that our residents are protected and informed of the details. When requesting to perform a project in your front or back yard, please continue to go to the TrailMark website and print out the Home Improvement Request form from our website. Here’s a link for easy access - https://www.trailmark.org/uploads/3/9/0/8/39089355/hoa_home_improvement_request_yd_access_202204.pdf. To ensure a timely request review, please submit your Home Improvement Request Form and all applicable documents, by noon, the Friday prior to the scheduled meeting. Submit to hello@4shoa.com.

The DRC has been very busy over the summer, reviewing in excess of 170 requests since June, or 414 so far this year.
The DRC reviews homeowner requests the 1st and 3rd week of every month, schedules permitting. Send all documentation to the management company at hello@4shoa.com. All complete requests should be received by the management company not later than 12:00 noon, the Friday prior to a scheduled review week. The DRC strives to return decisions to the management company within one week of the scheduled review.
Painting:
a. Scanned and/or monitor representations have proven unreliable in determining whether a paint scheme is appropriate for the TrailMark community. In accordance with the Design Guidelines, physical paint color samples are required unless one selects pre-approved paint colors. TrailMark color schemes are posted on the HOA website under Documents and Forms at approvedpaintcolors_sw_201907.pdf (trailmark.org), or you may review the paint sample books which are available from our management company. Call 303-952-4004 or email to hello@4shoa.com.
b. At present, you may drop off paint chips at 9387 W Gibralter Place. Ensure that paint chips are in a sealed envelope with the homeowner name and address on the outside. The Homeowner Improvement Request Form will continue to be submitted to the management company with color selections annotated.

Due to the recent storm, many trees in TrailMark have been damaged to the point where they need to be removed. The TrailMark Board and the Design Review Committee (DRC) acknowledge the tremendous cost and inconvenience that these damages represent to many in our community. In our ongoing efforts to respond to this situation, please note the following:
Due to the recent storm, many trees in TrailMark have been damaged to the point where they need to be removed. The TrailMark Board and the Design Review Committee (DRC) acknowledge the tremendous cost and inconvenience that these damages represent to many in our community. In our ongoing efforts to respond to this situation, please note the following:
- Normally, the removal of any existing tree requires DRC approval. However, the “List of Routine Home Maintenance/Repairs not requiring DRC Review” permits the removal of dead trees without approval. We interpret this to include trees badly damaged by the storm that likely will not survive or that may pose a risk to people or property. These trees may be removed without prior approval.
- Front Yards are required to include a minimum of one tree and five shrubs under the Design Guidelines. Due to the current availability of live trees and the unexpected cost of the storm, homeowners who remove a front-yard tree due to storm damage will have one year to replace the tree.
- Planting a replacement tree does require DRC approval. When submitting your request, please include the type of tree and a plot plan of your yard showing the proposed location. The Design Guidelines (available below) include a list of recommended deciduous and evergreen trees that may be planted as a replacement.

TMMD / HOA Fences
Some residents have TMMD/HOA fences surrounding their back yards/front yards. The fences are split rail, with 6” x 6” posts (see picture included). Recently, the HOA has been made aware of homeowners dismantling these types of fences to perform work in their back yards. In each case reported, the homeowners did not have permission to dismantle the fence.
In order to perform approved work in your back yard, which includes removing TMMD/HOA fencing, you must fill out a Yard Access Form, include a $1000 check for potential damages, and submit it to designreview@trailmarkhoa.org. When residents don’t follow these rules, and contractors and/or homeowners damage the TMMD/HOA fence, the members of our association have to pay for the damages that are left behind.
Please understand that if this form is not submitted by homeowners, then you do not have permission to take down the TMMD/HOA fence, nor perform work over the fence. The HOA will strongly enforce damages to the TMMD/HOA fence. The HOA will be discussing this issue at the March 10th HOA meeting. We appreciate your cooperation with keeping our fences in great shape.

On September 3rd, many TrailMark homes sustained significant hail damage. To assist homeowners with needed hail damage repairs, the Design Review Committee (DRC) published and committed to review hail damage requests on an out-of-cycle basis. This allowed homeowners to quickly schedule repairs to roofs, fences, paint, siding, windows, etc. Almost four (4) months later, the DRC has conducted approximately 280 out-of-cycle reviews for hail damages.
Since the emergency nature of these requests has long passed, effective immediately, all hail damage requests will be placed in the normal DRC review queue, and will be reviewed during the normal DRC weeks - 1st and 3rd week of every month. Requests must be received not later than 12:00 noon, Friday prior to the scheduled DRC review. This allows DRC members to review the requests to ensure all required documentation and information is present to allow a speedy review. DRC requests for additional project information and/or re-submitted denied requests will be reviewed during a following, normal review session. To ensure that your requests receive timely review, include required project information submission early in your project planning.
As always, valid emergency requests are reviewed as needed; such as recent hail storm damage home repair requests. Since the hail storm in early September, the DRC has reviewed 169 requests on an emergency basis due to hail damage. Note that some requests required multiple reviews because of insufficient information so the application needed to be returned to the homeowner and reviewed again once the required information was provided by the homeowner. Please be sure to provide all information required which includes a yard access form if your property borders open space. Even if the homeowner is not planning on accessing the open space their property borders for their project, a Yard Access Form must be completed and signed. The homeowner will simply note on the yard access form whether or not the open space will be accessed for the project.

On behalf of the HOA Board and the many homeowners whose homes sustained damage during the September 3rd hail storm, our grateful thanks to the Design Review Committee and management company for their extraordinary effort completing in excess of 170 damage reviews since about September 16th. To assist our homeowners, the DRC announced that they would review these many requests out-of-cycle, and in doing so, expedited the ordering of materials and scheduling repair work. This monumental effort involved many personal phone calls and emails, and required many, many additional hours to accomplish. Their effort is greatly appreciated by the Board and our many homeowners. Thanks for a job well done!!!

Many houses sustained damage and are expecting to require roof and/or solar replacements and repairs, and other more minor repairs. To assist homeowners, the Design Review Committee would like to offer assistance to help move the process forward, and minimize delays.
• Per our CCRs, yes, you must submit a request to the DRC for a roof / solar replacement or repair.
• What documents are needed?
1. Home Improvement Request Form
- Provide the shingle manufacturer, shingle style (i.e., asphalt…), type (i.e., three tab),
and color.
- Provide a manufacturer brochure and indicate shingle and color selection.
2. IF you live on open space – Home Improvement Yard Access Form
3. IF you need solar system replacement/repair - TrailMark Solar Device Checklist
• REMINDER:
- All required City of Littleton building permits must be obtained.

New List of Routine Home Maintenance / Repairs not requiring DRC Review
The Design Review Committee (DRC) continually seeks to streamline the review process for proposed home improvement projects. Thus, the DRC developed a list of routine maintenance and repair items for which a homeowner is not required to submit a request review to the DRC. The parameters established in the attached document must be met before determining that the submittal of the standard Home Improvement Request Form is not required.

The Design Review Committee (DRC) continually seeks to streamline the review process for proposed home improvement projects. Thus, the DRC developed a list of routine maintenance and repair items for which a homeowner is not required to submit a request review to the DRC. The parameters established in the attached document must be met before determining that the submittal of the standard Home Improvement Request Form is not required.

If you are thinking about an exterior home project for this late Spring or Summer, below you will find a few helpful reminders and links to homeowner forms.

The DRC reviews requests the 1st & 3rd week of every month. Your request and accompanying documents, such as paint chips, must be received by the management company by 12:00 noon on the Friday prior to the DRC meeting, to ensure your request is complete and can be reviewed without delay.

The DRC’s vision and philosophy is to encourage consistent design expression while allowing homeowners individual expression when making home improvements.

If you anticipate spring, summer or fall exterior home projects, now is the perfect time to put those plans and your request together and submitted to the Design Review Committee (DRC) – painting/staining, roofing, landscaping, windows, decks/patios, fences, driveways, etc. ALL project forms and documents completely describing your project must be submitted to the DRC.
The DRC reviews project proposals the 1st and 3rd week of every month. We highly recommend that you submit your Homeowner Request Forms and all relevant documents to the management company to ensure that your project gets the required review and approval, to allow you to stay on your project schedule.

As a point of clarification, you must submit the Homeowner Request Form and identify the paint scheme you have selected prior to initiation of your paint project. If you wish to create your own paint scheme you must submit paint chips obtained from paint stores. Copies of paint chips are not accepted because of color distortion.

TrailMark Swimming Pool Standard
The HOA/DRC has developed a community-wide swimming pool standard and is asking for your input to the proposed standard. To see more information and view the standard, go to our Swimming Pool Standard page.

After receiving requests from residents for a paver option on their driveway, the DRC created an updated guideline to include some paver options for driveways in addition to the standard concrete driveways. Paver driveways will incorporate into the neighborhood by keeping the original grey color scheme as well as a simple design of either a basket weave, or running bond. Two sets of house address numbers are permitted on each lot with only one being on the residence itself. It is recommended that the house number be placed either above the garage door, or to the side of the garage door closest to the front door. Numbers should be no larger than 7 inches in height. If placing address on stone, you should use a plaque with a contrasting background for ease in reading.

In response to one homeowner’s inquiry, below is the Sherwin Williams paint formula for TrailMark perimeter fences (not wing fences). Homeowners may paint all fences except the wing fences the same color as the open space fences. Homeowners on open space are responsible for painting only the inside of the fence.
Those planning to update their wing and/or perimeter fences (fences between properties) with stain, the TrailMark approved options are:

Trex® Fencing
You can match your fence to the new community Trex® Composite Fencing! If it is time to replace/repair your fence and you want to use the new Trex fencing, simply submit an application to the Design Review Committee for approval and be sure to note that you will be using the same color as the installed fence – Trex in the Saddle color. Proposed change to Enforcement Policy regarding exterior work to all TrailMark homes and properties
The HOA would like to remind everyone about the importance of submitting applications for all exterior work planned for your home. The Design Review Committee works hard to ensure that the integrity and design of the homes are upheld and that all of our Residents have a clear path to getting their home/ property improvement projects accomplished. Because of this commitment to ensuring every homeowner follows the governing documents, which you agreed to when you purchased your home, the HOA Board is discussing a change to the enforcement policy. The proposed policy will be discussed at the next Board meeting. The policy change would increase the fine for those homeowners who do not submit for DRC approval prior to initiating exterior work on their home and property. This includes painting, fences, doors, windows, decks, driveways, landscape work, etc. The current fine is $50. This does not seem to be a strong enough fine because many homeowners continue to ignore the HOA rules and complete exterior work as they wish, resulting in improvements that do not comply with current policy and standards, and in some cases, requires the improvement be re-done. Therefore, the proposed fine is $250. Regardless of the work being done, if work is completed without a Home Improvement Request and subsequent DRC approval, the new fine could be $250. It is important to get approval, and it is important to recognize the rules of the HOA for the community in which you live!

The policy change would increase the fine for those homeowners who do not submit for DRC approval prior to initiating exterior work on their home and property. This includes painting, fences, doors, windows, decks, driveways, landscape work, etc. The current fine is $50. This does not seem to be a strong enough fine because many homeowners continue to ignore the HOA rules and complete exterior work as they wish, resulting in improvements that do not comply with current policy and standards, and in some cases, requires the improvement be re-done. Therefore, the proposed fine is $250. Regardless of the work being done, if work is completed without a Home Improvement Request and subsequent DRC approval, the new fine could be $250. It is important to get approval, and it is important to recognize the rules of the HOA for the community in which you live!

Exterior House Painting
As reported during the November Annual Meeting, it has been noted during the community compliance inspections that many homes are in need of total or partial painting. To assist homeowners with planning for this project, you are reminded that paint sample books showing all pre-approved color combinations are available for your review. Contact our Community Manager at designreview@trailmarkhoa.org who will make arrangements to get the books.
Paint Books: The paint books contain paint chips showing the original paint color schemes (KWAL brand) for the houses in TrailMark. KWAL was bought out by Sherwin Williams, so you can take the paint samples to Sherwin Williams (or any other paint company) to get the desired colors scanned to arrive at the correct color formula. Regardless of the series your home is (600, 500, 400), you may select any of the forty-one color combinations in these books. The home must be painted exactly as indicated in the combination as to where a specific color is to be applied. To change the placement of a specific color requires identifying exactly what color goes where.
If a homeowner chooses a color combination from the TrailMark sample books and must get the paint chips scanned, paint chips are not required to accompany your paint request because the resulting paint color is not a standard paint color therefore paint chips are not available. However, on your request you must state that you are getting your selected colors scanned to arrive at the exact color as in the paint sample book.
Sherwin Williams Account: The HOA Board established a TrailMark Sherwin Williams account that will allow TrailMark residents to receive a discount on Sherwin Williams paint and stain products. As reported during the November Annual Meeting, it has been noted during the community compliance inspections that many homes are in need of total or partial painting. To assist homeowners with planning for this project, you are reminded that paint sample books showing all pre-approved color combinations are available for your review. Contact our Community Manager at designreview@trailmarkhoa.org who will make arrangements to get the books.
Paint Books: The paint books contain paint chips showing the original paint color schemes (KWAL brand) for the houses in TrailMark. KWAL was bought out by Sherwin Williams, so you can take the paint samples to Sherwin Williams (or any other paint company) to get the desired colors scanned to arrive at the correct color formula. Regardless of the series your home is (600, 500, 400), you may select any of the forty-one color combinations in these books. The home must be painted exactly as indicated in the combination as to where a specific color is to be applied. To change the placement of a specific color requires identifying exactly what color goes where.
If a homeowner chooses a color combination from the TrailMark sample books and must get the paint chips scanned, paint chips are not required to accompany your paint request because the resulting paint color is not a standard paint color therefore paint chips are not available. However, on your request you must state that you are getting your selected colors scanned to arrive at the exact color as in the paint sample book.

- Natural, untreated finish
- A clear, waterproof sealant
- Maxum Formula 2 (Fawn M-2030) This is a KWAL Color which was replaced by Sherwin Williams.
While the intent of these options was made in the best interests of TrailMark’s aesthetic beauty, it is apparent that the natural, untreated finish is no longer the attractive option it once was, given black staining and water marks. Therefore, TrailMark is moving away from this option and is encouraging homeowners to select an approved color option.
The clear, waterproof sealant protects the wood for a period of time but generally does not provide UV protection, or the UV protection is minimal, requiring more frequent maintenance. Homeowners who selected this option are encouraged to select an approved color option in order to reduce the maintenance requirement.

Before long, spring will be upon us so now is the time to start thinking about projects external to your home – painting, roofing, landscaping, windows, decks/patios, etc. Spring is the busiest time for the DRC to review requests. To ensure that you get the necessary approvals to commence project work, the DRC recommends that you start your planning now and get your request submitted as soon as possible.

Many concrete surfaces throughout the community are in need of repair and/or replacement due to:
Spalling - surface failing in which the concrete is flaked or pitted.
Sagging and/or cracking.
Repair and/or replacement of these surfaces may be required for safety and aesthetic reasons, and can be expensive. We advise homeowners to look at these surfaces and take action where required.
REMINDER: It is the responsibility of the homeowner to maintain sidewalks and curbs adjacent to one’s property.
