TrailMark at Chatfield HOA - Pay Assessment


Pay your Quarterly HOA Assessments

Quarterly payments are due on the 1st of January, April, July and October.

Be sure to include your account number. If you don’t know your account number, please contact Chad Rohr.
​To set up ACH (autopay), or to make a single electronic payment, visit https://www.4shoa.com/payment-options and click on the Client Portal button.

Some helpful guidelines -
  • You should have received an activation link from 4 Seasons Management Group at the end of November, for the online portal to your email address on file. Please let 4 Seasons Management know if you did not receive it.
  • The email will have TrailMark Homeowners Association as the subject.
  • Once you access the email you will select "Activate Now." It will then take you to create a password.
  • Once you create a password, you will be logged in and able to set up your auto pay.
  • Please reach out to 4 Seasons if you need any assistance when setting up your auto pay.

Assessment Information
 
Assessments are paid quarterly at $135.00 per quarter. Assessments can be paid by automatic withdrawal (ACH) or by check. Assessments include trash/recycle service, social events hosted by the HOA, common area landscape maintenance and common area snow removal.
 
Closing Fees
 
Any closing within the TrailMark HOA is subject to the following fees/dues:
  • Transfer Fee - $64.00 to Working Capital
  • Payment Processing Fee - $225.00 to (info to come)
  • Dues for the following quarter - $135.00 to TrailMark HOA
 
Trash Collection
 
GFL Environmental is the contracted trash hauler for the community. They can be reached at (303) 744-9881. Trash and recycling are picked up every Tuesday. This service is included in your assessment charges. Be sure to check the website for trash information, delays, and to contact the company.
 
Landscaping
 
LCS is responsible for landscaping and snow removal.

Mailing your First Quarter Assessment Payment:

TrailMark residents who want to mail in their First Quarter Assessment using a check need to do the following:
  1. Make the check payable to TrailMark Homeowners Association, Inc.  
  2. Be sure to include your five digit account number on the check. It can be found on your assessment statement recently mailed out by 4 Seasons Management. This will insure your check is credited correctly.
  3. Be sure to include the lower portion of the Assessment Notice so that your check will be deposited in the correct account.
  4. If you have a copy machine, make a copy of the invoice and your check for your files before mailing.
  5. Checks should be mailed no later than January 23, 2023 to insure posting before the late payment deadline.
  6. Send your completed check and the bottom portion of the notice to the new Dropbox address for sending checks which is different than the address above:

4 Seasons transitioning to new bank
Client portals, assessment payment options to change

​Dear Homeowners:

We are excited to announce that we will be utilizing a new management software platform, AppFolio, effective December 1, 2022. We will also be transitioning our Banking relationship partner to Pacific Premier Bank effective December 1, 2022, as well!

There will be some important changes during this transition that we want to make you aware of.

HOW YOUR CURRENT CLIENT PORTAL WILL BE IMPACTED:

• Your current client portal through VMS will deactivate on 11/30/2022.
• Your current client portal through VMS will no longer accept payments after 11/15/2022.
• You will receive a welcome letter/email from AppFolio mid-November with instructions on how to log in to your NEW APPFOLIO client portal.

HOW YOUR CURRENT PAYMENT REMITTANCE OPTIONS WILL BE IMPACTED:

• ALL of the existing payment methods you are currently using will deactivate on 11/15/2022.
• We will no longer be processing ACH in house payments, RevoPay payments (phone payment provider) or CIT Payments that are currently setup. The existing Lockbox will be shut down and no longer accepting payments as of 11/15/2022. (Payments already on their way will be forwarded to our office for 30 days after closure to be processed).
• You will want to cancel any existing payment methods you currently have setup through your personal online banking account and setup a new payment remittance with AppFolio/Pacific Premier Bank.
• There will be a NEW Denver based Lockbox Address to remit payments through.

HOW WILL YOU PAY YOUR BILL GOING FORWARD?

​2 OPTIONS TO CHOOSE FROM


1. Login to your NEW AppFolio client portal and initiate or setup:
  • Recurring ACH, one-time ACH, e-check or credit card payments.
  • *This portal will be available to activate as of 11/28.
2. Remit a physical or e-check to our NEW Lockbox Address that will be on the next billing statement you receive, late November.

STEPS YOU NEED TO TAKE TO PREPARE FOR THIS TRANSITION:

• Cancel your existing payment method for your association dues by 11/15/2022.
• You will receive your statement for December 1st assessment billing the last week of November. This statement will provide the new Lockbox address if that is your preferred payment method. Important to note: The Lockbox will not be live or able to accept payments until 12/1/2022.
• If your assessment dues are billed quarterly/annually, you will still be able to setup your payment method through your AppFolio client portal as soon as you receive your welcome letter/email or visit our website the last week of November to access the new Lockbox address for check payments.

We know transitions can be tricky and we will work closely with all of our valued clients during this time to ensure everyone is setup going forward to access their new client portals successfully and ensure their payment methods are established with our new partners as of December 1, 2022!
